One Wiibe Experience LLP ("One Wiibe", "we", "us") builds interactive games, AI photobooths, and physical–digital experiences for live events. This page explains what personal data we collect — both through this website and at events where our installations are deployed — how we use it, and the rights you have over it.
01 Who this applies to
This policy applies to anyone who interacts with One Wiibe — visitors to our website, prospects who send an enquiry, clients we deliver events for, and guests who experience our installations at those events. Some sections only apply to one of these groups; we mark them clearly.
We comply with India's Digital Personal Data Protection Act 2023 (DPDP Act) and, where applicable, the EU GDPR. Our role under the DPDP Act is generally that of a data fiduciary for prospects, clients, and direct-contact data, and a data processor on behalf of event clients for guest data captured through their activations.
02 Data we collect through this website
When you use this site we may collect:
- Enquiry form data — your name, event/company, expected event date and footfall, the universe you're interested in, and the message you write to us.
- WhatsApp/email contact — if you click through to chat with us, the conversation is governed by the relevant platform (WhatsApp / your email provider) in addition to this policy.
- Site usage — browser type, device, approximate location (country/region), pages viewed, and how you arrived. We may use a small set of cookies to remember your enquiry-cart state and to measure anonymous traffic.
03 Data captured at events & activations
When One Wiibe deploys interactive games, sensor-driven installations, or branded experiences at a live event, we may capture data that the experience needs to function:
- Game inputs & scores — paddle strokes, microphone volume, reaction times, button presses, leaderboard entries.
- Sensor data — touch, motion, and proximity readings from physical controllers and interactive props (e.g. Plant Interaction, Reflex Pro).
- Optional contact details — only if a guest voluntarily enters them (e.g. an email to receive their photo strip or 360° clip).
Guest data captured at an event belongs to the event host (our client). We process it on their behalf under a data-processing agreement and return or delete it after the event per the agreed retention period (see Section 7).
04 AI photobooth & image data
Our photobooth products (Vintage, 360° Video Booth, DSLR & AI Photobooth, Digital Cube) capture photos and short videos of guests who choose to participate. Specifically:
- Photos & video clips are stored locally during the event and delivered to the guest via the channel they choose (print, email, WhatsApp, or QR-code download).
- AI style-transfer in our DSLR & AI photobooth runs on-device or in a secure, ephemeral cloud session — the source photo is used to produce the styled variant and is not retained for any other purpose.
- No facial recognition or biometric matching is performed by any current One Wiibe product. We do not build face databases.
- Brand overlays applied to media (event hashtag, client logo) are removable on request before delivery.
Guests who do not want to be captured can choose not to step into the booth. Where required by the event client, we display signage describing what is captured and how it will be used.
05 How we use your data
- To respond to enquiries and quote your event accurately.
- To deliver the experience our client has booked — running games, generating media, sending you your photos.
- To improve our products — usage stats (e.g. "Reaction Game average reaction time") inform engineering, never tied to individuals.
- To produce showreels and social content — only where the event client has the right to publish and we have the appropriate consents. Any guest can request removal (Section 8).
- To meet legal, accounting, and tax obligations under Indian law.
06 Sharing & disclosure
We share data only with:
- The event client — for any guest data captured at their event, as governed by our agreement with them.
- Service providers — hosting (Cloudflare Pages), email delivery, payment processors, and limited analytics. Each is bound by contract to use the data only for the agreed purpose.
- Legal authorities — only if we are required to under Indian law or a valid legal order.
We do not sell or rent personal data. Ever.
07 How long we keep data
- Enquiry data — kept for up to 24 months from your last contact, unless you ask us to delete it sooner.
- Event guest data — held only for the duration agreed with the event client (typically 30–90 days post-event) and then deleted or returned.
- Photobooth media not delivered — automatically purged from on-site systems within 7 days of the event unless the client has booked an archive.
- Anonymised gameplay statistics — may be retained indefinitely for product improvement.
08 Your rights
Under the DPDP Act and equivalent laws, you have the right to:
- Access the personal data we hold about you.
- Correct anything that is wrong.
- Withdraw consent and ask for deletion (subject to limited exceptions where retention is legally required).
- Object to specific uses — for example, removal of your image from our showreel.
- Lodge a complaint with the Data Protection Board of India.
Send any of these requests to the email in Section 13. We will respond within 3-4 days.
09 Minors at events
Some events we deliver are family-friendly. We do not knowingly collect personal data from children under 18 without parental consent. Where event clients invite children to participate in interactive experiences, the responsibility for consent lies with the event host and accompanying parent or guardian. If you believe data about a minor has been captured inappropriately, contact us immediately (Section 13) and we will delete it.
10 Security
We use industry-standard practices: HTTPS for the website, encrypted transport for media delivery, principle-of-least-access for our internal tools, and offline-first design for event-day systems (so guest data does not need to leave the venue unless required). No security is perfect — if you believe an incident has affected your data, please notify us straight away.
11 Third-party links
Our website and our delivered media may link to third-party services (Instagram, WhatsApp, YouTube, Vimeo, etc.). Those services have their own privacy policies. We are not responsible for how they handle data once you click through.
12 Changes to this policy
We update this page when our products, vendors, or the law change. The "last updated" date at the top reflects the most recent revision. Material changes will be highlighted on the homepage or sent to existing clients directly.
